The Challenge

FBCAD (Fort Bend Central Appraisal District) has over one hundred and twenty desktop printers at their primary location and manages each device with service and toner ordering through its Information Technology and Administrative staff. They felt this was an expensive way to manage their printers and was also taxing on their staff. However, the traditional Managed Print Services (MPS) model didn’t have the ROI (Return on Investment) that warranted entering into an agreement with an outside firm to manage their printer fleet.

FBCAD has nine MFP (Multi-Functional Peripheral) devices for walk-up copy/print/scan/fax needs. They had multiple vendors supporting their systems, which caused issues for their users when trying to place service calls and adjusting to each manufactures UI (User Interface).

FBCAD was forced to make a tough decision in the wake of the COVID-19 pandemic. They did not have a plan to support their staff that would need to be remote throughout 2020.

The Function4 Solution

Function4 approached FBCAD with our 20/40 MPS Managed Print Services Program, which included a detailed analysis to understand the current costs that FBCAD was spending to manage its devices internally. Our study concluded that our 20/40 program would save the organization thousands of dollars annually and reduced the IT and Administration Departments’ day-to-day involvement in managing each printer’s maintenance and service.

Function4 provided FBCAD an upgrade of 60% of their antiquated multifunctional printers addressing their users’ needs of enhanced capabilities like scan-to searchable PDF, OCR conversion of hard documents to editable formats like MS Word, Excel, and PowerPoint. It provided a single point of contact for service and supply needs. Function4 assisted in providing FBCAD with what would be called “Office-in-a-box” for their remote staff. FBCAD added a monitor and scanner, while Function4 provided the 45 printers needed to complete the Office-in-a-box initiative.

Results

FBCAD agreed to enter into a 60-month agreement with Function4 with a review at the end of the quarter Function4 representative Christian Colasono provides FBCAD with itemized quarterly billing statements for each departmental bill-back.

FBCAD has been a part of the Function4 20/40 Program & upgraded five of their multifunctional printers for over a year ago now and could not be happier with the support provided by Function4.
